Job Description

Middle School Assistant Principal Secretary

Reports to: Assistant Principal

Work Schedule: 10 months

Affiliation: Classified Employees Association (CEA) 2026-27 Salary Grade C2- Starting pay rate: $18.49

Summary of Position: Under the direct supervision of the Assistant Principal, this position provides administrative and secretarial support for the school and public being served. In addition to typing, filing, scheduling and communicating, performs such duties as: communicates information regarding school functions and procedures; ensures compliance with District financial, legal and administrative requirements; oversees the office activities in support of the services provided to students, parents and staff. Handles highly confidential and sensitive information in a fast-paced environment. Independent judgment is required to plan, prioritize and organize the diversified workload.

Qualifications:

  • High school diploma or equivalent
  • Prior office experience required
  • Excellent communication skills, both written and oral
  • Strong interpersonal skills and problem solving skills with the ability to effectively deal with conflict
  • Excellent technical skills; must have knowledge of a variety of computer software and database applications (i.e., Word, Excel, PowerPoint, Synergy, Subfinder, etc.)
  • Good organizational skills; including the ability to schedule events
  • Ability to handle sensitive and confidential situations; position requires demonstrated poise, tact and diplomacy
  • Ability to multi-task and work with multiple interruptions

Essential Job Functions:

  • Prepares written materials (i.e., schedules, reports, memos, letters, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
  • Serves as a conduit for communication between administrators, staff, parents and students.
  • Attends meetings as assigned for the purpose of representing building administration, taking minutes, conveying and/or gathering information.
  • Compiles data from a variety of sources (attendance, staff and student handbook, enrollment counts, payroll, etc.) for the purpose of complying with legal and/or administrative requirements.
  • Coordinates the following with the Assistant Principal: Transportation Building Calendar Attendance and Truancy Safety and Security District/State/Federal Standardized Testing
  • Maintains documents, files and records according to mandated expectations
  • Responds to inquiries from a variety of internal and external parties by appropriate means of communication.

Skills, Knowledge and Abilities:

Skills are required to perform multiple tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skill-based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including pertinent software applications.

Knowledge is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: professional telephone etiquette and computer software (e.g. Microsoft Word, Excel, School-related software).

Ability is required to often gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing specific, defined processes; and operate equipment using defined methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with data of varied types and/or purposes; and utilize job-related equipment. Problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is moderate. Specific ability-based competencies required to satisfactorily perform the functions of the job include: maintaining confidentiality; adapting to changing priorities; working with frequent interruptions; communicating with diverse groups; and displaying tact and courtesy.

Work Environment:

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 90% sitting, 5% walking, and 5% standing. This job is performed in a generally clean and healthy environment.
