We are seeking a highly experienced, proactive Executive Assistant to partner directly with the Head of Engineering at an innovative software/AI company in Bellevue, WA. This is a senior-level role designed for someone who thrives in high-performance environments and enjoys operating as a trusted thought partner to an executive who moves quickly and works around the clock.

This role requires someone who is confident, perceptive, and comfortable communicating clearly and directly. Beyond executive support, this individual will also serve as a positive presence within the office. We’re looking for someone who naturally connects with people, greets colleagues, brings energy to the workplace, and helps foster a welcoming and collaborative office culture.

Requirements

  • 8+ years of experience supporting C-suite or senior executives, ideally in fast-paced technology environments
  • Demonstrated experience partnering closely with a senior executive and managing highly complex schedules and priorities
  • Strong business acumen and the ability to understand context, anticipate needs, and exercise sound judgment
  • Confident, direct communicator who can engage effectively with senior leaders and cross-functional teams
  • Highly organized with exceptional attention to detail and follow-through
  • Comfortable operating in high-intensity environments where priorities shift quickly
  • Strong interpersonal presence with the ability to build relationships across the organization
  • Proficiency with Google Workspace, Slack, Notion, and expense management tools

Responsibilities

  • Serve as the primary Executive Assistant to the Head of Engineering, managing day-to-day priorities and ensuring they are operating at maximum effectiveness
  • Own and manage a complex, constantly evolving calendar, balancing competing priorities across meetings, projects, and time zones
  • Coordinate travel logistics, itineraries, and related planning with precision and foresight
  • Prepare briefings, meeting materials, and key documents to ensure the executive is well prepared and informed
  • Act as a strategic partner by anticipating needs, identifying potential conflicts, and proactively proposing solutions
  • Communicate confidently with internal and external stakeholders on behalf of the executive when appropriate
  • Help drive operational efficiency by improving workflows, coordination, and administrative processes
  • Serve as a welcoming and enthusiastic presence in the office—connecting with colleagues, fostering relationships, and helping create a positive workplace environment
  • Partner with internal teams to coordinate leadership meetings, engineering team touchpoints, and key company moments

Schedule:
